Patient Safety & Anxious Pet Protocols

Our team cares deeply about all our patients, especially those who experience high anxiety, fear, or behavioral challenges at the vet. When a pet is overwhelmingly stressed and feels the need to defend themselves, forcing them through an exam is traumatic for the animal and creates an unsafe environment.

In accordance with OSHA guidelines and our clinic’s standard of care, we do not require or expect our medical staff to put their physical safety at risk of injury, nor do we put animals through unnecessary distress. Instead, our protocol is to pause and adapt. To safely complete your pet’s care, we may offer supportive solutions such as gentle same-day sedation or rescheduling the visit with oral anti-anxiety medications to be given at home. We stand firmly by these recommendations as the most compassionate way to provide vital medical care while keeping both your pet and our team completely safe.

Client Code of Conduct (Zero-Tolerance Policy)

We are committed to treating every client with empathy, respect, and professionalism, and we expect the same in return. We understand that veterinary medicine can be emotionally stressful, especially when a beloved pet is sick or in pain, but we maintain a strict zero-tolerance policy for abusive or aggressive behavior.

Foul language, yelling, verbal threats, derogatory remarks, or physical aggression directed at our veterinarians, technicians, or front desk staff will absolutely not be tolerated. Any violation of this policy will result in the immediate termination of the veterinary-client-patient relationship (VCPR) and permanent dismissal from our practice.

Lobby Safety (Leashes & Carriers)

Even if your pet is exceptionally friendly, other patients in our waiting room may be sick, in pain, or highly fearful. For the safety of all clients, patients, and staff, all dogs must be on a secure leash and kept close to your side, and all cats must be securely enclosed in an appropriate pet carrier before entering the building and while in the lobby.

Appointment & Cancellation Policy

When you book an appointment, we reserve that time exclusively for you and your pet. If you need to cancel or reschedule, we ask for at least 24 hours’ notice.
  • Late Arrivals: If you arrive more than 10 to 15 minutes late for your scheduled appointment, you may be asked to reschedule to ensure we do not delay care for the rest of the day’s patients.
  • New Client Deposits: All new clients are required to pay a $75 deposit to secure their first appointment. This deposit is applied directly to your visit cost, but is non-refundable if you fail to show up or cancel with less than 24 hours’ notice.

Financial & Payment Policy

To maintain our high standard of care and keep our hospital fully equipped, payment is required in full at the time services are rendered. We do not offer in-house billing or delayed payment plans. We accept cash and all major credit cards. If you have concerns about the cost of care, our team is always happy to provide an estimate prior to running diagnostics or performing treatments so you can make the best medical and financial decisions for your family.

Prescription Refill Policy

By law, a veterinarian must have a valid, legally established Veterinary-Client-Patient Relationship (VCPR) to prescribe or refill any medications, which requires your pet to have been examined by our doctors within the last 12 months. Please allow 24 to 48 business hours for our team to authorize and process all prescription refill requests.
